Grants & Contracts Coordinator

Overview:
We are seeking a full-time Grants & Contracts Coordinator to administer AAF’s contracts with city and state agencies, as well as grant awards from private funders. The Grants & Contracts Coordinator will administer the execution and compliance requirements of city and state contracts and grant awards.
The ideal candidate is someone with at least a year of experience navigating the government contracting process, working with financial reports and budgeting, managing contract/grant expense tracking and reporting processes, and is extremely detail-oriented, with a passion for process improvement.
This person will report to the Grants & Contracts Manager and work closely with the Deputy Director and Finance team.
Responsibilities:
- Administer the execution of multiple city and state contracts, as well as the timely submission of budget modifications throughout the fiscal year
- Track the reporting schedule for all contracts and grants, communicating and coordinating with the appropriate program staff to ensure the timely submission of financial and deliverables reports for reimbursement and successful execution of contract and grant requirements
- Maintain contract and grants records and documentation, including deliverables reports, financial records, and supporting documentation
- Ensure timely contract close-out, renewal, or extension by tracking the completion of all transactions related to deliverables and reporting
- Manage all aspects of government contract audits, preparing requested documentation ahead of time and serving as a point person for all communications
- Administer sub-granted funds to multiple subgrantees through reviewing and auditing reports, sending out subcontractor agreements and Memorandums of Understanding, and coordinating with the Grants & Contracts, Finance, and Programs teams
- Assist with the implementation of a contracts and grants management system to support, improve, and enhance contract and grant reporting, internal reporting systems, and maintenance of historical records
Qualifications:
- Bachelor’s degree required
- A minimum of 1-2 years of relevant experience with grants or contracts administration, including the management of financial reports
- Experience with New York State and City contracts preferred
- Highly detail-oriented, with demonstrated ability to accurately track multiple grants and contracts concurrently
- Excellent written and verbal communication skills
- Exceptional organizational skills, with demonstrated ability to manage concurrent multiple assignments, meet tight deadlines, and prioritize accordingly
- Superior relationship management skills, with ability to work both independently and collaboratively
- Fluency in an Asian language is a plus
- Strong commitment to AAF’s mission and core values

Compensation: Salary is up to $57,000 per year, commensurate with experience. Comprehensive benefits package includes generous paid time off, health, dental, vision, and life insurance, as well as a 403(b) plan.
